HCM – Assistant to Vice CEO

I. JOB BRIEF:

As the Assistant to Vice CEO cum Branch Director focusing on Import-Export and Construction Affairs in a retail fashion company, you will play a crucial role in managing the import-export processes and overseeing construction projects. Your responsibilities will involve ensuring compliance with international trade regulations, optimizing supply chain operations, and coordinating construction activities to support the company’s expansion and development goals.

  2. Direct reports: Vice CEO cum Branch Director
  3. Major internal communication: All departments
  4. Major external communications: All related partners

III. MAIN TASKS:

  1. Import-Export Management:
  • Coordinate import-export activities, including procurement, customs clearance, freight forwarding, and transportation logistics.
  • Ensure compliance with import-export regulations, tariffs, and trade agreements to minimize risks and optimize cost-efficiency.
  • Monitor inventory levels, track shipments, and resolve any issues or delays in delivery to maintain smooth operations.
  • Negotiate contracts with suppliers and carriers to secure favorable terms and conditions.
  • Tracking tax refunds.
  • Searching for good forwarder to maximize cost savings.
  1. Construction Project Oversight:
  • Manage construction projects from inception to completion, including budgeting, scheduling, and quality control.
  • Collaborate with architects, engineers, and contractors to develop project plans, specifications, and timelines.
  • Conduct site visits and inspections to ensure compliance with construction standards, safety regulations, and environmental requirements.
  • Address any issues or challenges that arise during construction and implement corrective actions as needed.
  • Seeking contractors, partners.

Required experience/ Skill detail

  • Bachelor’s degree in a related field with at least 3 years of experience.
  • Proven experience in import-export operations, preferably in the retail industry, with a strong understanding of international trade regulations and customs procedures.
  • Previous involvement in construction management or related field, with knowledge of construction principles, codes, and practices.
  • Excellent communication and negotiation skills, with the ability to build and maintain relationships with internal and external stakeholders.
  • Strong analytical and problem-solving abilities, with attention to detail and the ability to manage multiple tasks simultaneously.
  • Proficiency in relevant software applications such as Microsoft Office, project management tools, and import-export management systems.
  • Flexibility to travel domestically and internationally as required for business purposes
